Competition Rules

ENTRIES

  1. Members may enter up to TWO images in any Monthly Competition and  the Colour and Monochrome Challenges. Entries may be any combination of prints & digital images.

  2. Members entering work must own the copyright of that work and be able to assert their moral right to be associated with all aspects of the source elements of the work. For the avoidance of doubt, use of images from any other source including, but not limited to, royalty free image banks and clipart are not permitted. Also, images wholly or partially created using ‘Generative Artificial Intelligence’ (AI) are not permitted. “If you haven’t made the input, can you claim the output?” PAGB guidelines: Any importation, whether manual or automated, of all or part of a single image or of a generated image which includes or has been developed from the work of others, means that the resulting content is not entirely the work of the photographer and that the resulting image does not comply with the PAGB General Conditions.

  3. Once a photograph has been entered into a monthly competition or challenge, the same one may not be entered into any other monthly competition or challenge. Please respect the spirit of this rule by not entering photographs that are virtually identical to ones already used.

  4. The Competition Secretary should receive all entries at the club venue on the date stipulated in the handbook. Entries can be placed in the boxes provided. Your entry may be  submitted by another member on your behalf if you cannot attend. Email entries are not normally accepted unless by prior agreement.  

JUDGES, SCORING and MERIT TABLE

  1. Selected Judges will appraise all photographs and award each with a mark out of 20. They’ll also award First, Second & Third places. These places may be awarded in any combination of prints or digital images. The winning image will be upgraded to 21 points.

  2. Entries in 1st, 2nd or 3rd places will progress to ‘Picture of the Year’.

  3. Points awarded to members will be recorded in a cumulative merit table. Only your best 16 scores (from a possible 20) will be counted in the final merit table. The member with the most points will be deemed ‘Photographer of the Year’.  

  4. In the event of a tie the greatest number of wins, second places or third places will decide the winner. If still tied, the photographer with the greatest number of 20s, 19s, 18s etc. will be ‘Photographer of the Year’.

  5. All trophies will be awarded at ‘Picture of the Year’ night in December. It is the responsibility of the photographer to return trophies to the AGM the following year.

  6. Prints should carry your three-digit membership number & photograph title on the reverse. There should be no other identifying marks.

  7. Prints should be ideally mounted on self-supporting card of 50x40cms. Larger sizes are not allowed. Smaller sizes may be used but will not be eligible for exhibitions (as they will not fit our frames) and many external competitions.

  8. Digital images – The file name of your digital image should be your three-digit membership number followed by the photograph title. For example: “003 Oh No Not That Doll Again”. There should be no dots, no commas, no extra spaces, no underscores, no dashes, no quotation marks.

  9. Digital images must be saved in JPEG format to maximum quality. Maximum width should be 1920 pixels; Maximum height should be 1080 pixels. We recommend a resolution of 72ppi. The colour space should be sRGB as other colour spaces may project the colours differently.

  10. Digital images may be entered on a USB device which must display your name & number. Only the images intended for submission should be on the USB stick. Sticks will be available for collection after the competition.

OTHER IMPORTANT INFORMATION

  1. The External Competition Secretary has the right to retain prints for Club use for a period normally not greater than fifteen months.

  2. Any photograph entered may be exhibited or used elsewhere by the Club without further permission being sought from the photographer.

  3. Dual Club Membership. To prevent two or more clubs using the same image in external competitions; Gwynfa will assume it has first-call on any images you enter for the duration of that year’s ’15-month competition period’  (see rule 15). Should you wish to enter the same image into a competition at a different club, The onus is on you to inform External Competition Secretaries of both clubs. This rule does not prevent you from using any of your images in Salons or International Competitions.

  4. Please always treat visiting judges (and presenters) with the utmost respect. They are honoured guests who have been invited to give their opinions. Under no circumstances should a member challenge a decision or make derogatory comments. Any such outbursts will be regarded as a serious breach of club etiquette and could be viewed as bringing the club into disrepute. (Please see rule 6c of the Club Constitution on page 35 of this document).  

Submission of an entry implies acceptance of these rules. Photographs that do not comply may be refused admission without notice.
